My name is Melanie Verner and I've had the joy of chairing the college's international education program for the past two years. We are delighted to present briefly to you tonight about our program and how our students are benefiting from out of the classroom learning. This program is unique to a college of our size. Currently, we utilize educational travel companies or faculty and staff members who can plan, organize and lead our students on trips outside of Baytown, Texas, and even the United States in order to grow their sense of identity, place, community, responsibility, critical thinking and perspective in a complex world. We have put together a few slides to showcase our incredible students who've been brave enough to step out of their comfort zones and try something new. They have jumped hurdles such as passports, visas, customs lines, airports, airplanes, foreign foods, and sometimes sicknesses, rainforests, mountains, foreign currencies and languages, and so much more. We have had a now transferred student brag to his friends at another local community college about his experiences here traveling since he was an international business major. Another one of our first time travelers got her passport, traveled to London and Paris with us, and then decided to plan herself a trans-European educational tour for six weeks during the summer. I have a packet for you which showcases our students' comments about travel, why they want to go, and what they feel they gain from the experience. Additionally, there is a host of data that emphasizes the significance of travel on students' college and career outcomes. It is this latter fact that has compelled me to advertise this program to students and the community, lead students on some of these trips, train faculty to lead these student tours, and work with our administrators to continue helping fund these opportunities for our students. I'm so pleased that under our new chairperson, Francisca Castillo, not here tonight because she is currently traveling with students in Brazil, the program will continue. I am deeply grateful for your support of our domestic travel programs using institutional funding, though I am a bit heart sick to learn that this program that has burgeoned this year and allowed an unprecedented number of students to travel outside the walls of our classrooms may have less funding moving forward. Since we are striving to be a campus of belonging, it is so essential that you all continue to work with both administration and Ms. Castillo to adequately fund this amazing program so that our students have the chance to step their feet onto places they could only dream of. Travel is not cheap, though we do work hard to ensure the most cost-effective programs for our students. The bottom line is that while I know there is a host of other places our tax dollars are needed, I believe, as do the students who have seen the world with us, that investing in their character, resilience, and perspective is a worthy expense. There is a misnomer that these travel programs are unnecessary, that they are vacations, or that they don't directly address an algebraic or composition or psychology course outcome. However, the research shows that students who travel succeed in college, and at the end of the day, their success, as well as their sense of belonging and ownership of the world around them, is our ultimate goal. I do have some packets for you. I do want to go through a few slides, but I want to give the floor to some of these students. If y'all would introduce yourselves and talk a little bit about what you do. [Speaker 17] (6:28 - 6:44) My name is Iraiz Torres, and last year I went to Peru, and this year we went to Europe. We went to France and Italy, and it was a great and amazing trip, and thank you for giving us this opportunity. [Speaker 13] (6:47 - 7:23) My name is Ruben. I'm just going to speak briefly because I have something after this, but I went recently on an East Texas field trip, and we learned more about the history, specifically about the indigenous peoples in the area and settlers. So I went with me and a couple of other IMPACT students, and it was really nice. We went to Cato Mounds. We went to a state park in Central Texas, and then we just really learned about how these people lived, and I liked how it connected back to what I've learned in my Texas history classes and just the classes I've taken here because, you know, we see it in the slideshow, but ... [Speaker 9] (7:23 - 7:24) ... [Speaker 11] (7:42 - 9:55) to also do the Europe and France trip. I just now finished my last class here at Lee College, and I was able to get my associates in general studies and my AAS in instrumentation tech. I believe ... Thank you, thank you. I believe that this trip was a huge part of that success, and with that success, I am able to now go to the University of Houston and continue my studies and get my bachelor's. With that said, I do believe that Lee College's mission of expanding the opportunity by addressing individual needs of creating a holistic student experience is something that I truly have felt during my journey here on this campus and that trip. The college nurtures an environment that challenges stereotypes and empowers students to envision futures that they never assumed was possible, like this trip. I would have never pictured myself going to Europe if it were not for this opportunity, especially with it being funded half off. I mean, that is a true one in a million. And one of the most powerful lessons I've learned is that not all classrooms have four walls. Travel, especially in the form of education itself, it immerses you in geography, history, culture, food, and language, and there is so much more to go from all that. Being in a new place broadens your perspective, deepens your understanding of the world, and sparks ideas that shape you in a personal and professional life. Experiencing these places enriching history, such as the churches of St. Peter's to the breathtaking architecture of the Basilicas in Rome and the beauty of religious art inside the Vatican assisting chapel, offered me not only knowledge, but a space for reflection. You're surrounded by stories of those who fought for their freedom and those who fought for power, each layer deepening your awareness of the world. I want to thank Lee College for the opportunity and thank the institution that was able to fund this. And I want to also thank Lee College for my education and thank you for shaping my future. And I do ask that Lee College will be able to continue to fund these types of educational experiences outside the classroom for future generations and students to come. Thank you. [Speaker 6] (10:01 - 13:03) Stay here for just a moment. We want to look at... So, Ruben, you spoke about going to Caddo Mounds. They took 30 students and four faculty to Caddo Mounds. We sent 40 students and two psychology faculty members on two separate trips to get into the water with whales and dolphins to look at operant conditioning and actually practice the things they've been learning in the classroom. This was some recent other trips that we have done where we took students into London, into Paris. They learned to navigate the tube system and speak some French. As you may know, the Rotaract and teacher education students go to Costa Rica and work there with a local classroom. They do community service there. We do hike in the rainforest. Texas A&M has a facility there where they help sponsor us. It's a fabulous opportunity for our students. And we took students to Peru in 2024. Currently, as I said, there are eight students and four faculty in Brazil. Keep them in your thoughts. They are having a wonderful time and learning great many things about South American country. We are in Pisa in Rome. We have a lovely statistic here of 200... And this is... I looked this up again yesterday to double check it. 200% of students who travel are more likely to get a college degree or graduate or a graduate degree after traveling. It's incredible, incredible stuff. We got to see Rome over spring break and Florence in Southern France. They climbed a volcano, got stuck on top of it. The bus broke down. We were okay. Greg Leteer helped push it off the volcano. And then here are the... I want to highlight for a moment this program that's incredible and has been running now for about 10 years where they take students and faculty to Costa Rica. You can see them here working with some local school children in a one room school house with no air conditioning where they plan lessons. They work with the students. Then in the top left, they go to a community center and we're laying concrete for a basketball... A basketball ground, I guess, for them to play where they had raised money for basketball goals. A Rotaract company group had sent the basketball goals down there for the students. So it's pretty incredible stuff. We have a student there tasting a termite. Just... Talk about an out of classroom experience. Next year, we have a few things already scheduled to go. Students excited and signing up Puerto Rico, Costa Rica, and possibly St. Lucia with nursing students in the spring. We just want to say thank you. Thank you, thank you, thank you for giving us this moment tonight for this program, for your support. Again, these are two studies fairly recent. 93.6% of first generation students who studied abroad earned their undergraduate degree within six years in comparison to only 58.4% of first gen students who did not study abroad. Um, first, I want to thank you for leading the search that resulted in hiring me because I'm very grateful to be here. Second, I wanted to thank you for your leadership at both the state and national levels. Your advocacy has not only represented Lee College, but all 50 community colleges in the state of Texas and 1,100 community colleges in the nation, and that will never be forgotten, so thank you for that. Thank you for always putting the college's best interest as your highest priority and always keeping students at the center of everything we do. I want to thank you personally for always being there for me, for treating me as a human being, and in all of your feedback always ensuring that you are there to help me evolve, grow, improve as a leader and as a human being, and I can't thank you enough for that. And I think you already know this, but you will always be a member of the Lee College family and we will never ever forget you. And now I'd like to open it up to other members of or the members of the board to offer comments. You were a friend long before you were a colleague on this board, so appreciate all of that. And as Dr. V stated, your leadership at the state and national level, very, very special. That is a skill set that is going to be missed. I know we will be seeing each other at the theater, so our friendship will continue, but thank you so much for your service. You coached me, advised me, helped me recognize the purpose of this board, and I just can't thank you for the friendship that we've had over the years. You're steady. You're methodical. You're just in motion for the right reason, and I just want to thank you for what you've done for Lee College, again, mostly in the state, but also at the national level. I'm like Pam. I believe God has a plan for you. You're not done. I want to just congratulate you again on your somewhat recent marriage. I'm sure David's going to be glad to have you home a little bit more, right? The grace and class that you've demonstrated, I think, sets a tone for the college and for this board and sets a standard for us to try to achieve. Now, we may not always agree on things, but we can be agreeable. And that's the hallmark of a wonderful, excellent board member, and you have been that. And so, thank you. But Susan, seriously, I've known you for a good number of years, both from Goose Creek and over here, and you have always been a steadying factor and someone that we could rely on for good advice. As we gather tonight, I do so with a heart of gratitude and reflection. After 36 and a half years on the Lee College Board of Regents, it is time for me to turn the page on this chapter of service, a chapter that has defined almost half of my adult life and given me more than I could ever give in return. When I first joined the board, I could not have imagined the journey ahead, the challenges we would face, the milestones we would celebrate, and the transformation that would help guide this college. I've had the privilege of serving alongside remarkable presidents, administrators, faculty, staff, and community members, all united by a shared belief in the power of education to change lives. Over the decades, we've seen Lee College evolve. New programs, new campuses, new partnerships. But at its core, the institution has never changed its commitment to access, excellence, and opportunity. I'm proud of the role we've played in expanding access in higher education, especially for first-generation students, working adults, and underserved communities in our region. And I'm proud that we've stayed rooted in our mission while boldly adopting to meet the needs of an ever-changing world. To my fellow regents, past and present, thank you for your wisdom, collaboration, friendships. To the faculty and staff that are here and our phenomenal president, thank you for your tireless commitment to student success. And to the students who may be here, past, present, and future, thank you for inspiring us with your determination and your dreams. busy month okay uh next we'll move to report of the chairman i do not have a report at this time so we'll move to building committee report and i do have that report for the board so the building committee meeting uh the building committee met on thursday may 1st 2025 the committee and other board members toured several campus buildings including the gym and pool the sports arena wellness center the greenhouse and the grace science building the tour was designed to again give us a first-hand view of our facilities so we'll get our assessment we have put our eyes on it the building committee also met on may 14th just prior to this meeting we received a presentation on the procedures to handle surplus and salvage inventory that the college holds we've reviewed three items that will be presented to the board this evening for approval the committee recommends approval of the three items the first one would be external dna door locks which will complete all building external door locks on our main campus and the project total is two hundred three dollars three hundred two hundred three thousand three hundred fifty nine dollars funded from the four million dollar board funded projects ada phase two budget the performing arts center stage lighting project will include upgrading the stage lighting for two hundred six thousand one hundred eighty one dollars this is funded from fiscal year 2425 facilities operating budget and the gray science building uh hallway paint floors replace ceiling tiles etc totaling two hundred eight thousand ninety eight dollars will be funded from the fiscal year 2024-25 facilities operating budget we discussed feedback from our most recent tours we had an update on the facilities master plan progress we had an update on the site utility service efforts and we discussed our next building tour on may 29th which will include the north plant john britt hall and the atc we've received an update on current projects the cosmetology project is still under construction there was a structural discovery during the project we discussed and agreed to progress the work the ada phase two and life safety project list status and budget were reviewed that's the discussion we just had a few hours ago are there any questions or comments on that report all right great thank you we'll move on to policy committee regent [Speaker 8] (56:52 - 59:54) gerals i'm sorry i'm looking at the next one yes so we met on april 22nd we have a couple items later on on the agenda um we're asking for your approval of um one in particular dmaa it's in reference to the term contract renewals so i just want to speak to it a little bit just so you guys are clear um so the executive team reviewed this policy um it's also being recommended by our legal council um and it talks about the process what we've added to it is the process whenever there is a non-renewal that takes place um you guys know we didn't have an actual process that was in the policy in the past um so when the contract expires it can expire at the end it does expire at the end of the term um no obligation to renew at all um just will be notified in writing by the president or her designee at least 15 days prior to so that's the notification that goes out making them aware of the non-renewal of the agreement and then they have the right to grieve the non-renewal if they desire um so the process you know they'll give a grief notice um that notice will go to the executive of human resources within 10 days of receiving the notice from the president or her designee um the president then has 10 days to accept or reject it it has to be done in writing and then the faculty member can decide to appeal to us to the board there is one item that was added um which is number 22 and it talks about turpitude but it didn't have moral so we just added the word moral in there for it um so process um submit to the chair if they want to appeal they submit to the chair or the president within 10 days there's a hearing and that hearing takes place in closed session unless the faculty member requests for it to be done publicly um the board will set the date the time and the location of the hearing and then there will be three days prior both parties will submit their exhibits so it's almost like a true hearing they get to submit their exhibits they can call witnesses um the chair kind of oversees it they can cross-examine and then the board will then deliberate privately and then rule to provide that information will go out in writing within 10 days and then the chair was submitted to hr and so that's generally what the process would be if there is a non-renewal that is appealed and that item is later on on the agenda any questions for me [Speaker 2] (59:56 - villanueva thank you second report yeah yes this is my uh second report so i'd like to begin by congratulating regent tom or regent thomas um and uh just welcoming you and look forward to serving with you and uh also wanted to wish you a belated happy birthday that's for you happy birthday didn't want to forget that um so let me move on and talk about our commencement ceremonies this past saturday i really think that they were truly truly special and i'm so grateful to all of you who were able to attend and support our students it was it was an amazing ceremony set of ceremonies six of them this time so uh let me share just by the numbers so last year we had 370 graduates who participated in commencement this year that number rose by over 100 to 476 students we're still finalizing our numbers it takes a while to certify everything with regard to graduation but we expect to officially graduate 740 students which is compared to 702 graduates last year so we're really proud of our graduates and uh and to seeing more and more lives who are being changed through our educational uh the educational services that we provide at lee college um i'm especially grateful to everyone who participated in ensuring that we had a smooth set of ceremonies but uh really grateful to dr carl husband and his team because they put pretty much everything together and did a great job um and i think we were all um honored to celebrate um the lives of three students who are no longer with us and awarding them posthumous degrees and so um thank you for that and um i think it was a wonderful way to honor the families and friends so thank you um moving on i'd like to share that achieving the dream featured lee college's huntsville center in a publication that focuses on serving justice impacted students as part of atd celebration of community college month i shared the article link with the board earlier today um but i also have it in hard copy at your seat so um but i'd like to recognize donna zuniga dr douglas walser's paul allen who's the huntsville center academic uh chair and tracy williams the director of re-entry services so while it's gratifying to uh receive the national recognition for our work it's much more meaningful to me and i think to all of us that we are positively positively changing the lives of so many people who would otherwise otherwise might not be given this the second chance and so we're so happy that that's part of our mission of serving okay moving on over the last year lee college has been fortunate to participate in um technical assistant cohort for the snap now let me try to get this snap employment and training program so which is snap nt now so snap ent is a program through the usda that connects snap recipients with education training and support services that result in credential attainment and family sustaining wages through the program institutions may be reimbursed for 50 percent of their staffing materials and indirect costs for services such as those offered in the student resource and advocacy center at this time we've submitted our application and to be a third-party provider and kelly i'm going to say it we think we're going to be the first in texas to receive that recognition and approval so we're excited and we will officially announce that we are first in texas when we when we find out right but my thanks to um kelly for really leading the efforts in that in that endeavor it's going to help a lot of students come to lee college and then stay enrolled and complete their degree i'd like to congratulate dr janina norris who is here with us as well for being selected to the american association for women in community colleges 2025 leaders institute the institute is a five-day experiential workshop designed to help develop additional leader skills leadership skills because you already have a lot and qualities and women at all levels of community college and administration and its goal to prepare to prepare prepare women for career advancement and executive level leadership positions including presidency so congratulations dr norris on that milestone we're proud of you i'd also like to recognize that four of our rotaract community service club members each received a three thousand dollar scholarship for their accomplishments and their valuable contributions to the baytown community the students are rotoract club and all of us are very grateful for the generosity generosity of the baytown rotary club so thank you to baytown rotary and then finally you may have seen an announcement in the baytown sun already that featured this guy here coach wade who was selected as one of the influentials under 40 i guess they've renamed that but congratulations to him and when you our folks we'll move to informational reports we'll start with report of lee college resignations and or [Speaker 4] (1:06:21 - 1:06:50) retirements dr villanueva this first one is very difficult uh dr greg latir is retiring and i know that you all will join me in uh missing but uh he's ready to retire now luckily we still have his wife with us so she'll be with us and also melanie verner um english and humanities who [Speaker 2] (1:06:50 - 1:06:59) is resigning much move to financial report mr atkin chief financial officer and vice [Speaker 3] (1:06:59 - 1:19:44) president of finance come on up uh thank you it's a pleasure to be with you today members of the board and madam president uh regent thomas let me just say welcome to an amazing organization i've only been here for six weeks but lee college is a special place and we are poised to do great things during your term as a regent so welcome to the team and let me warn you right now if you're going to keep up with your fellow board members we're going to see each other a lot in fact i'm genuinely impressed and amazed at how often i see you not only at lee college events graduations and award ceremonies and athletic events but also how often i see you in the community i've i've been trying to immerse myself a little bit in baytown and and i picked this up at a chamber meeting and uh i i appreciate that chairman santana is featured very prominently right there in the middle i edited the photo however i think i've discovered his secret to attending every single event at every organization within the city he's discovered the secret to cloning i don't know what it costs but i'm in you all do such a great uh job for us and and i really am i've worked with many boards throughout my career and i have to say you're the most committed and the most engaged that i've ever worked for so thank you for what you do as we start the review of the monthly financial position of the institution remember cash is king and we break our cash up into three categories first we have our operating cash which is the result of activities that we participate in throughout the year so our ad valorem taxes our tuition and fees and our state appropriations are deposited into our operating account and we use that on an ongoing basis to pay for the operations of the college we have a restricted account which is generally the result of past performance and in there we have our funds that we have dedicated for board reserves along with insurance reserves in the event that we may run into financial difficulties in the future and then finally we dedicate some funds for specific purposes we have lost revenue reimbursement which was residual from the cares act and the way that the college managed those funds as well as construction which are funds that the board has set aside for dedicated construction projects as you can see uh we have 75 million dollars in cash currently uh compared to this time last year that's a 13 increase and so the position of the college continues to improve with each passing year in terms of our cash flow projections on an operational side i realize this is small but i wanted to share this with you to point out that right now cash is high our low point our projected low point will be in august when we expect our operational cash to drop as low as 11.6 million dollars keep in mind also that this includes the surplus from last year which we haven't reallocated yet and and so we are managing our operations to the cash that we collect and as we review this on a regular basis and monitor this closely to ensure that the college is always operating efficiently both in the use of its funds and in the manage of its liquidity in terms of the financial statements you can see here that we present the revenues by category as well as expenses by category in terms of activity through april we're really looking at 66 of the activity uh or we're two-thirds of the way through the year as you can see we've collected most of our district taxes we've collected most of our tuition and fees we will collect some additional tuition and fee in may for the summer semester and we would expect our tuition and fees to be in excess of our our budgeted amount the final payment for state appropriations will be received in june and that will take us to 100 on our state appropriations and our other local income which is primarily interest income and then operations from auxiliaries and other revenue generating activities is on pace to exceed the budget of 5.4 million so we're we're doing well in terms of our revenue you will notice um on our district taxes the amount that we're collecting in the current year is less than what we collected last year not by a lot 0.81 percent is in a significant decline but that is a result of the reduction in the tax rate that was passed in last october in terms of expenses all categories are trending under um for the time being typically with salaries we have some vacancies and so there's there's usually a trend below operating budget with salaries and benefits are a reflection of total full-time salaries our operating expenses are up from last year which you know was a specific goal of the institution we are allotted a budget from you we need to spend that during the year and be aggressive in moving forward the initiatives of the college and we're doing a better job of that this year and then in terms of debt what you see there are lease payments and our interest payments only the principal payments on our general obligation bonds will be made in august and so you'll see that trend below uh your monthly predicted rate until august when we make our principal payments and then that will catch up uh to our expected budget for our debt payments to go into a little more detail you can see in our tuition and fees uh that we're seeing a strong performance in our out-of-district tuition as well as in our dual credit um unfortunately our tuition in district isn't as as high as we would like to see it in terms of what we budgeted at the beginning of last year and so we we would like to see improvements in that area as well as our non-resident tuition our fees are outperforming budget expectations part of this is related to the my books fee and the integration of book charges associated with uh activities in huntsville and and so uh again to reiterate our tuition and fees should end ahead of budget by the end of this fiscal year our state appropriations uh we've received two out of the three payments the last one will be for the last 25 percent we will go into much more detail regarding potential impacts to state appropriations during our budget um workshop later this month there are a number of rule changes that have been passed already that will impact how much revenue we generate through the completions that our students are in their coursework here is a summary of our district taxes the budget variance on revenue in lieu of taxes uh that was over budgeted by about six hundred thousand and there's you know some estimated guesswork that goes into that despite that deficiency we expect this to be slightly under budget at the end of the year as we did not adjust the budget down when the tax rate was adjusted we kept the budget the same in terms of other revenues you can see that the primary categories are workforce continuing ed and interest the other revenues included in the middle line are listed down below and you can see that there are a variety of categories of items that generate other interest in terms of salaries and benefits on the expense side um one thing that i would note as you look at at these figures month over month you will see that our part-time overload our overtime and our stipends are treading ahead of schedule while our regular salaries and our part-time faculty salaries are trending behind schedule that's an indication that we rely on our full-time faculty teaching overload and engaging in overtime hours to make up the difference for some of the difficulties that we have occasionally in filling our adjunct faculty positions and and so this as you do an analysis here this this should give you an idea of how we're providing our education to our students in terms of other operating expenses our legal fees are trending ahead of schedule we've had a number of hr issues that legal has had to review this year we've also engaged in a couple of pretty significant negotiations that have required ongoing legal expertise 162 000 is not excessive even though it's ahead of budget to put this into context hcc my former institution would log over two million dollars in outside legal fees in in any given year and so we're very efficient with the use of our attorneys but it has been a little higher this year than in past years in terms of our other expenses there you can see that some of these are timing type issues like with our insurance or equipment we have a lot of these transactions that we'll post during the summer and so while those are trending behind now you'll see those catch up over the next several months and as we move on to our debt just a reminder our bond principal and our revenue bond principal payments will be made in august those will catch up at the end of this year and that leads us to the projected net revenue so as of the end of april based on our projected monthly revenue and expenses for the for the next five months four months we expect that we could end as high as 3.4 million dollars under budget now administratively we're committed to try and utilize those dollars as efficiently as we can to move our strategic priorities forward i don't expect it to be that high at the end of this year but we will be slightly under budget by time we get to august 31st and down below you can see as of 4 30 what some of the key areas are in terms of variances on both our revenues and our expenses here you can see a summary of our capital projects the reason that i call these out specifically these are capital projects that have been approved by the board using surplus funds from prior years so these activities here are not currently being recorded to the board as part of our operating budget these are separate you can see what has been budgeted the expenses that we've occurred year to date the remaining budget and then of course the expenses that were actually booked and recorded in the month of april finally we have our restricted funds these are all of our grant funds and grant funds as you know generally work on a reimbursement basis while we're showing a deficit of 452 000 that will uh we'll catch that up by the end of the year as we charge those back to can't see people um welcome regent thomas i am dr marissa moreno i'm the associate vice president of transfer and educational partnerships all others have known me for years um one of the biggest things about lee college is that we are not only committed in the education and future of our students we also promote the professional development for our employees with that said it is with great pleasure that i proudly introduce our two newly minted doctors in the transfer and educational partnership division first we have dr sarah tidwell sarah stand she was hooded last week with her doctor of philosophy degree phd in higher education and policy studies from the university of houston main campus dr tidwell started her career at lee college as a student and student assistant for kathy at the mall for those of you who remember um in the late 1990s successfully transferring to texas a&m university upon completion of her bachelor's degree she returned to lee college where she calls home as a deeply rooted fixture of lee college for the past 20 years she started as count as a lee college counselor and now serves as the director of the advising and transfer programs so congratulations sarah secondly i'm excited to introduce dr priscilla sanchez who joined lee college this past november she successfully defended her dissertation two weeks ago obtaining the doctor of education edd and leadership from spalding university an immediate asset to our division she comes with close to two decades of higher education experience serving as our executive director of school and college partnerships i am grateful to have both of them on our team as we continue advancing the impactful work of our transfer and educational partnerships division building on our national recognition for research and practice across prominent platforms i'd like to thank dr Villanueva and the lee college board of regents for their support of our employees to complete their educational endeavors [Speaker 2] (1:23:05 - 1:23:17) thank you for your time thank you dr moreno all right we're going to move on mr uh goings our [Speaker 5] (1:23:17 - 1:29:37) auditor for a status report thank you for having me um let's see if i can work the technology for error okay i'm going to give you an update on the audit progress so far this year and i'll hearken back to when i was up here sometime last fall to recast it uh our infrastructure included the risk taxonomy risk rating standards issue rating standards and risk and for a high residual risk rating that is risk with controls factored in that would escalate directly to the board as a whole that has obviously not happened because this is the first time i'm back to talk with y'all so that's always a great thing and we've completed at this point in time six distinct projects and okay six distinct projects and thematically three key things are going on one is high engagement high transparency high helpfulness and high patience as i learned the education industry so kudos to the audit customers it's excellent working with the team we have here second big theme is our main enterprise system we really throughout history have not fully exploited it so that results in our processes having a degree of choppiness in them so we have artifacts that are used in the processes either at the start of the process or at the end of the process which are not embedded in the system they're embedded in other software either network shared drives or document imaging and management systems so that creates a little bit of effectiveness efficiencies and then thirdly we tend to have a lot of paper still involved in the processes the paper gets scanned uploaded emailed and so that creates challenges of our process that being said during the course of the reviews we are finding opportunities for improvement about getting better every day some of them are efficiency mop issues some of them are effectiveness some of them are controls either enhancing massaging a control or implementing a new control and to date through these six projects i counted up sitting there we've got roughly 30 risk issues that have been identified from low rated ones which are control housekeeping or do something a little better to moderate ones which are maybe the control needs to be up to tad or elevated which means we have to implement a new control and within those 30 odd issues we've got a total of 30 plus action plans each action plan has an assigned owner and a target date and the actions follow the smart model so specific measurable relevant attainable time bound and i'm meeting with people as time is going on to track progress against those plans and to see if there's any twist or changes to the plans based upon more information being gathered so everything is going very well right now so i have no concerns from a risk and control standpoint about that so very positive flow so those are the completed projects the we've debriefed the audit and investment committee they ask a lot of questions which is good so our meetings tend to hit the time limit or we go over time which is great by me yesterday we were here for two hours and so that was very good conversation amongst the crowd so appreciate the support as usual okay added projects uh iae in february came out with a cyber security topical requirement and that says assess cyber security governance risk management controls with each audit and i that doesn't make sense i'm going to do it as one full fell swoop leveraging on the information technology audit and then adding on a couple things and that is a deadline of calendar year not fiscal year so that gives us some wiggle room field work workforce we've gone through planning we've gone through the risk assessment we are actually meeting to look at the test of effectiveness of controls tomorrow that's scheduled so the 30 odd sample items are ready to go your peer replacement data center location touch base all the time we've kicked off instrumental athletics we're kicking off on monday inventory next week i'm targeting to that's going to be a large crowd a lot of people involved in inventory and then the cyber and then in july we'll be building the annual plan for next fiscal year so i'll be meeting with the leadership team to do our risk assessment from top down i'm also going to try to do a sideways out and up risk assessment with say departmental level experts and then we'll be providing that annual plan to the aic and hopefully the board in august so we can be running in on july on september 1 and then we'll produce the annual report in august and be presenting it to you all i hope by sometime in september that's due by november 1 to the state usual suspects so everything is going great i think we're getting a pretty good culture of risk and control as we go along and again very positive working with you all [Speaker 2] (1:29:39 - 1:29:57) thank you any questions for mr
